Brief Description:
The Senior Administrative Assistant will work in a dynamic, trust-based partnership with the President and Vice President, Operations for Superior QC and will be responsible for performing a variety of general administrative duties for the organization.
The successful candidate will: set high standards of performance for themselves and others; be professional in written and verbal communications; exercise a high level of discretion in connection with complex and confidential duties; have an analytical mindset that can utilize factual data to develop creative and business-oriented solutions; and work well with a team of administrative professionals within other organizations to support overall business operations.
This position will report to the Vice President, Operations.
Detailed Description:
- Proactively manages work in a fast paced, dynamic work environment to meet tight deadlines.
- Manage incoming phone calls, schedule meetings and appointments, organize calendars and make travel arrangements and reservations.
- Assist senior leaders with their daily organizational tasks and provide general support to the entire team.
- Prepare spreadsheets, presentations, and manage various departmental reports in a timely manner.
- Maintain a clean, organized, and professional office environment. Provide general office support such as stocking kitchen and office supplies, conference room management, and ordering catering for group meetings.
- Provides complete support for meeting preparation and attendance including preparing/distributing meeting agendas, ordering catering, reserving conference rooms, and making hotel accommodations.
- Provide general office support such as copying, scanning, faxing, and sending notifications via email to numerous locations, ordering supplies, restocking supplies, invoice processing and handling office related requests.
- Manage large amounts of sensitive and confidential information related to the job which requires adhering to our Confidentiality and Confidential Information Policy.
- Prepare routine and advanced level written correspondence to include letters and emails.
- Work closely with other departments and administrative staff for office space planning, logistics or moves, to identify needs for consultants and/or visitors in addition to employees.
- Act as team first responder for emergency evacuations, ensuring safety and security of employees.
- Work with Hiring Managers and Human Resources to help facilitate logistics for interviewees such as scheduling interviews and booking travel/transportation.
- Perform other related duties as assigned.
Job Requirements:
- Proficient computer skills in MS Office Suite including Excel, Word, PowerPoint, and Outlook as well as other business systems.
- Ability to create reports and analyze data for accuracy from various business systems.
- Maintain professional demeanor in all situations with the ability to work effectively with executives, employees at all levels, and third parties.
- Ability to maintain Company and employee confidentiality at all times and handles sensitive information and protect Company proprietary information in an appropriate manner.
- Demonstrate outstanding customer service skills.

- Ability to be resourceful and proactive in dealing with issues that may arise.
- Strong organizational skills with time management abilities.

Minimum Qualifications:
- High school diploma or GED
- 3+ years of experience in an office administrative support role supporting senior level leader(s).
Preferred Qualifications:
- Experience in the oil field services industry.
Additional Details:
This job requires the ability to work under time-sensitive deadlines and maintain a calm and professional demeanor when adversity is encountered. It also requires the physical ability to work in office environment including the ability to sit for extended periods of time while performing office or computer tasks. The job may require minimal overtime including weekend or holidays. All applicants must be able to commit to a full-time schedule.
