We are currently searching for an Administrative Assistant to join our Collins Aerospace Mission Systems, C4I&A, Secure Mission Solutions (SMS) Team. This will be an onsite position attached to the El Segundo, CA site that will support the employees across two engineering departments. In this position the individual will need to demonstrate a strong ability to think critically in a fast-paced environment. This role is responsible for upholding Collins’s values by demonstrating professionalism, confidentiality, leadership, and a level of service that goes above and beyond the basics.

What You Will Do

  • Proactively manage complex calendars by effectively resolving conflicts, coordinating schedules, and executing meeting requests in a timely manner.

  • Coordinate meetings through both virtual and in-person settings.

  • Assist in the preparation and refinement of travel itineraries.

  • Accurately process expense reports with timely submission.

  • Coordination of logistics for meetings to include booking conference rooms, coordinating catering, and preparing material for presentations.

  • Responsible for attending weekly staff meetings, taking meeting minutes and distributing action items to staff.

  • Assist with the onboarding of new employees, and out-processing of departing employees

  • Generate documents and materials for meetings.

  • Multi-task and demonstrate the ability to work independently with minimal supervision.

  • Proactively resolve administrative issues and hard problems.

  • Serve as the primary point of contact and liaison for employees and visitors to the El Segundo, CA site.

  • General office management for the El Segundo, CA site.

  • Maintain, update, and serve as a focal point for databases and data repositories.

  • Interact and communicate with all levels of the organization in a professional manner.

  • Responsible for the completion of day-to-day tasks as assigned to ensure a smooth and effective flow for the SMS team.

  • Obtain and apply knowledge of corporate policies and procedures.

  • Ability to work in a collaborative and fast-paced environment.

  • Maintain confidentiality of company sensitive information.

  • Maintain a positive attitude and demonstrated a high standard of professionalism and discernment.

  • Embrace and execute non-routine requests to completion.

Qualifications You Must Have

  • Must have a minimum of 6 years of experience as an Administrative Assistant or related experience.

  • Strong written and verbal communication skills.

  • Organizational and time management skills.

  • Attention to detail and ability to work with minimal supervision.

  • Effective problem-solving skills.

  • Proficient in Microsoft Office suite.

  • Collaborate effectively with all team members.

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years relevant experience

  • U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract . Must have the ability to obtain a security clearance as needed.

  • Familiarity with Microsoft Office, Teams, Concur, SAP, SharePoint, virtual video conferencing platforms.

  • Agility, flexibility and patience in response to changing priorities and needs.

  • Exceptional customer relationship skills, ensuring communications are clear, thorough, and specific, with attention to follow-through.

  • Proven ability to manage tasks, work under pressure and consistently make deadlines.

  • Comfortable learning new tools and technology concepts quickly.

The salary range for this role is 48,000 USD - 112,000 USD. The salary range provided is a good faith estimate representative of all experience levels.
